FareLedger Privacy Policy
DRAFT for review. Not yet published. Placeholders are in [square brackets].
Last updated: [DATE]
FareLedger is an app that helps rideshare drivers in Australia keep their tax records: Uber and DiDi statements, expenses, a car logbook, GST and BAS figures, and an export for their accountant.
FareLedger is run by Melanie Antonia Marin Munoz, a sole trader trading as FareLedger (ABN 47 896 798 800), based in New South Wales, Australia ("we", "us"). This policy explains what information we collect, why, where it goes, and the choices you have. We aim to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
If you have a question about your privacy, email us at privacy@fareledger.com.au.
1. The short version
- We only collect what FareLedger needs to keep your tax records.
- We never ask for your Tax File Number (TFN). Please don't type it anywhere in the app.
- Your records are stored in Australia (Sydney).
- Statements, receipts and photos you upload are sent to an AI service (Anthropic's Claude, in the United States) to be read, so the numbers are filled in for you. The figures come back and are stored with your records in Sydney. Anthropic doesn't keep your files as part of your records, and doesn't use them to train AI.
- In the phone app, your location is only checked during a shift, for the "Still on shift?" reminder, and it never leaves your phone.
- We don't sell your information, show ads in FareLedger, or put tracking or advertising tools in the app or on our website.
- You can download all your records, and delete your account and everything in it, at any time from the app.
2. What we collect
Information you give us
| What | Examples | Why |
|---|---|---|
| Account details | Email address, password (stored scrambled, so we can't read it), or your Google or Apple sign-in | To create your account and let you sign in |
| Profile | First and last name, ABN, profile photo, the apps you drive for, your phone's work-use %, tax settings | To show on your reports and accountant export, and to work out your figures |
| Uber and DiDi statements | Monthly and yearly tax summaries (PDF), or your own spreadsheet, and the figures from them (fares, fees, tolls, km, trips). Statements may also show your name and ABN. | To work out your income, GST and BAS |
| Expenses and assets | Amounts, dates, what you bought, GST, work-use %, receipt photos or PDFs | To work out your deductions and GST credits |
| Car and logbook | Make, model, registration, ownership, odometer readings and photos, shift and trip times, notes, service history, months you marked as "didn't drive" | To keep your car logbook and work out your car's business-use % |
| BAS records | Quarters you marked as lodged, and the figures at the time | To carry later changes into your next BAS |
| Messages to us | Questions, problem reports, feature ideas, optional screenshots | To help you and improve FareLedger |

Information collected automatically
- App details sent with a message to us: the app version, whether you use a phone or web browser, and its operating system and browser version. This helps us fix problems.
- Basic server logs: like most online services, our providers record technical details such as your IP address and when you connected, to keep the service running and secure.
- On your device: the app saves a few things on your phone or browser so it works smoothly, for example a shift in progress, whether you've seen the welcome screens, and your sign-in session. These stay on your device.
Location (phone app only, optional)
If you turn on the "Still on shift?" reminder, the phone app checks whether the car is moving only while you are on a shift, and reminds you to end your shift if the car hasn't moved for 15 minutes.
- Your location is only used on your phone. It is never saved in your records or sent to us or to anyone else.
- It is not used at all when you're not on a shift.
- It's optional. Without it, everything else in FareLedger works the same. You can turn it off at any time in your phone's Settings.
What we don't collect
- Your Tax File Number (we never ask for it).
- Your bank or card details. If you pay for FareLedger through the App Store or Google Play, Apple or Google handle the payment and we never see your card details.
- Your contacts, messages, or anything on your phone other than the files and photos you choose to upload.
3. How we use your information
We use your information to:
- run FareLedger and show you your records, reports, GST and BAS figures, and logbook;
- read the statements, receipts and photos you upload, so you don't have to type the numbers;
- create the exports you ask for (PDF, Excel, CSV) to give to your accountant;
- send you reminders you've turned on (for example BAS due dates or "Still on shift?"); these are created on your phone;
- answer your messages and fix problems;
- keep FareLedger secure and working.
We don't use your information for advertising, and we don't sell it or rent it to anyone.
FareLedger gives estimates and general information. It is not tax advice.
4. Who we share it with
We only share information with the services that run FareLedger, and only what they need:
| Service | What they do | Where |
|---|---|---|
| Supabase | Stores your account, records and uploaded files | Sydney, Australia |
| Anthropic (Claude) | Reads the statements, receipts, spreadsheets and odometer photos you upload, and sends back the numbers | United States |
| Expo | Hosts the FareLedger web app (fareledger.expo.app) and builds the phone app | United States |
| GitHub | Hosts our website (fareledger.com.au) | United States |
| Google or Apple | Only if you choose "Sign in with Google" or "Sign in with Apple" | Their own terms apply |
| Resend | Sends sign-up, password and important account emails | United States |
| Zoho Mail | Our email inbox, when you email us | Australia |
About the AI reading your files: when you upload a statement, receipt, spreadsheet or odometer photo, it is sent to Anthropic so their AI (Claude) can read the figures. Under Anthropic's commercial terms, this content is not used to train their AI models, and Anthropic deletes it from its systems within a limited time (30 days under its policy at the time of writing), except where it must keep it to prevent misuse or by law.
Overseas: because Anthropic, Expo, GitHub and Resend are based in the United States, some of your information is sent overseas. We choose providers with strong security and privacy commitments.
We will also share information if the law requires it, for example a court order, or if needed to protect someone's safety.
You choose who else sees your records: for example, when you send an export to your accountant.
5. How we keep it safe
- Information is encrypted when it travels between your device and our servers.
- Each driver's records are locked to their own account: other users can't see them.
- Only you can see your records in the app. We only look at your information to answer a message you sent us, fix a problem you reported, or where the law requires it.
- If a data breach is likely to cause serious harm, we will tell you and, where required, the Office of the Australian Information Commissioner (OAIC).
No system is perfectly secure, so please use a strong password and keep your phone locked.
6. How long we keep it
We keep your records while you have an account, so they're there when you need them for tax time.
The ATO generally expects records to be kept for 5 years after you lodge your tax return. Before deleting your account, download your export (Reports → Export) so you still have your records.
When you delete your account (Account → Delete my account), we delete your records and uploaded files straight away. Backup copies kept by our providers are deleted automatically within 30 days after that.
7. Your choices and rights
You can:
- See and download all your records at any time (Reports → Export).
- Correct your information in the app, or ask us to.
- Delete your account and all your records (Account → Delete my account).
- Turn off location, notifications or camera access in your phone's Settings.
- Ask us what information we hold about you, by emailing privacy@fareledger.com.au. We'll reply within 30 days.
8. Age
FareLedger is for people aged 18 and over. We don't knowingly collect information from anyone under 18.
9. Complaints
If you're unhappy with how we've handled your information, email us first at privacy@fareledger.com.au and we'll try to fix it within 30 days.
If you're still not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC): www.oaic.gov.au, phone 1300 363 992.
10. Changes to this policy
If we change this policy, we'll update the date at the top. If the change is important, we'll tell you in the app and by email before it applies.
